Tips to Save on Your Wedding

  • Off-season dates: Book between November and March (excluding holidays) for 20-30% venue savings.
  • Friday or Sunday events: Save 15-25% on venue and vendor costs compared to Saturday weddings.
  • Trim the guest list: Each guest costs $200-$350 on average. Cutting 20 guests saves $4,000-$7,000.
  • Use in-season flowers: Seasonal blooms cost 30-50% less than imported out-of-season varieties.
  • Digital invitations: Services like Paperless Post save $300-$800 vs. printed stationery suites.
  • Bundle photography + videography: Booking one studio for both saves 10-20% vs. separate vendors.
  • Brunch or lunch reception: Daytime receptions cost 20-40% less on food and beverage than evening events.
  • Negotiate package deals: Many venues offer all-inclusive packages (catering, tables, linens) at a lower total than booking a la carte.

How to Budget for a Wedding

Wedding budgets work best when you start with a total number and allocate percentages to each category. The traditional rule of thumb puts roughly 40-50% of the budget toward the venue and catering combined, since these are the two largest expenses for most couples. The remaining half gets divided among photography, flowers, entertainment, attire, and other services.

Top-Down vs. Bottom-Up Budgeting

Top-down means you set a total budget first, then divide it across categories. This approach keeps spending under control and forces trade-offs early. Our calculator uses this method. Bottom-up means you research vendor prices in your area first, add them up, and arrive at a total. Bottom-up is more accurate but can lead to budget creep if you don't set a ceiling.

Why Region Matters

Vendor pricing varies dramatically by location. A wedding in Manhattan costs roughly 2x what the same wedding costs in rural Tennessee. The Northeast and West Coast tend to run 15-30% above the national average, while the South and Midwest typically come in 10-20% below. Our regional multiplier adjusts your cost-per-guest estimate accordingly.

The Guest Count Effect

Guest count is the single biggest lever on your wedding budget. Every additional guest increases catering, seating, favors, and invitation costs. As a rule, per-guest costs range from $150 in budget-friendly markets to $400+ in luxury metro areas. Before finalizing your budget, finalize your guest list.

Build a 5-10% Contingency

Unexpected costs are almost guaranteed: last-minute rentals, overtime fees, tips for vendors, or weather-related changes. Most wedding planners recommend reserving 5-10% of your total budget as a cushion. Our "Miscellaneous" category serves as this buffer, but you can increase it using the slider above.
